FAQ

General questions

Please check your local procedural rules. ExhibitManager provides a simple template editor  to adjust the citation styles to a wide range of local rules and customs (e.g. citations in footnotes, citations in the body of the text, citations as separate paragraph). However, lawyers should be mindful of rules requiring submission of original documents and any special rules on electronic filing.

ExhibitManager is not a forensic or document review tool. It does two basic, but essential tasks necessary for successful litigation: (1) it provides an easy way to edit, search for and insert exhibits in legal submissions, (2) it allows for the quick numbering, stamping and bundling of exhibits. Most other litigation support software just falls short of providing support throughout the whole workflow, in particular with citing exhibits in your submission and bundling exhibits.

It is important that the server hosting the ExhibitManager Application Server as well as well as the file share on which the exhibits are stored are properly set up. We recommend a technical workshop with one of our integration partners.

The word brief can stay on DeskSite or FileSite. The exhibits need to be saved locally or on a network share.

You can certainly use ExhibitManager while co-authoring a MS Word document through Sharepoint or OneDrive. The only limitation is that you should not update exhibit numbers while co-authoring as updating exhibit numbers requires exclusive use of the document. As will be explained in the training, this can be dealt with easily by designating a “document leader” for a submission who will update exhibit numbers once the other authors have closed the document.

You can use ExhibitManager to review documents, however, EM is not an eDiscovery tool, such as Relativity. EM works best with up to several thousand documents per project (typically our customers use ExhibitManager in projects up to 15’000 to 20’000 documents). Therefore, we recommend using ExhibitManager once you have limited the documents to those that are somewhat relevant for your submissions/witness statements.

ExhibitManager can already today be used for submissions stored on Sharepoint Online and OneDrive in Office 365. ExhibitManager currently can not be used together with Word Online. We are currently reviewing the possibilites.

There is no lock-in or proprietary data storage with ExhibitManager. PDF files are only linked to and remain accessible whether ExhibitManager is running or not. The exhibit data, i.e. the description, exhibit number, notes, links, issues, etc. can be exported to a wide variety of data formats (e.g. Excel, PDF, etc.) should you choose to stop using ExhibitManager. Even annotations that you have made in ExhibitManager can be exported by saving or printing the annotated versions of your exhibits.

ExhibitManager only stores links to PDF files and does not store the files themselves in a database. This means that files are stored exactly where you have left them, i.e. on your computer, on your external hard disk or on your file server.

If you use the embedded SQLite database management system, you do not have to buy any additional licenses.

If you would like to run the ExhibitManager database on a Microsoft SQL Server, you need to acquire the appropriate Microsoft SQL Server licences.

ExhibitManager uses an embedded SQLite database management system to store data. ExhibitManager creates a database file for each project which can be stored locally or on a regular network server (file share). The embedded database is suitable for projects with up to about 3 to 5 concurrent users. If more than 3 to 5 users work on a project at the same time, we recommend using Microsoft SQL Server as database system to ensure maximum speed, security, and scalability. If using Microsoft SQL Server, several projects can be stored in one database.
